1. Collection and Use of Personal Information
PipesHub, Inc. (“we,” “our,” “us”) may collect and process personal information about you during your interactions with our website, services, and product solutions. Personal information may be collected directly from you (e.g., through web forms). This policy covers individual accounts and organisation accounts. PipesHub acts as a controller for personal information it uses for its own account administration, billing, security and marketing purposes. Where PipesHub processes content on a customer’s behalf, the customer’s instructions, applicable service agreement and any applicable data processing addendum govern that processing.
1.1 Definition of Personal Information
1.2 Other Information We Collect
We also collect information about your device and usage of our website or product solutions. This information may be personal information, including when it identifies you indirectly or is linked to your account. This includes:
IP Address
Browser type and version
Operating System
User agent string
Pages viewed and time spent on each page
1.3 Purposes for Collecting Personal Information
PipesHub collects and processes personal information for business purposes, including:
Customer service and product support
Sending marketing communications
Managing subscriptions to newsletters/updates
Security and fraud prevention
Personalizing user experience
Enhancing or improving products and services
Processing orders and facilitating payment transactions
By interacting with PipesHub, you acknowledge these uses. This acknowledgement is not consent to optional marketing, tracking or other processing that requires consent. Where consent is required, we request it separately, and you may withdraw it without affecting processing already lawfully carried out.
1.4 Customer Content and AI Features
Depending on the features and connectors you or your organisation enable, the service may process documents, messages, attachments, source code, metadata, access permissions and group information, connector credentials, prompts and generated outputs (“Customer Content”). We process this information to connect authorised sources, index and retrieve information, generate responses and carry out configured agent actions. Search indexes, embeddings and other derived representations may also contain or relate to personal information.
Content needed for an enabled AI feature may be sent to the model, embedding or other service provider used for that feature. Provider selection, customer-provided model credentials and the relevant contractual settings affect which provider processes that content. PipesHub does not use Customer Content to train shared foundation models or third-party LLMs for general-purpose training without the customer’s separate explicit written consent, and only where applicable law and connected-service policies permit. Where PipesHub engages an AI provider on its behalf, it will require equivalent restrictions on general-purpose model training.
Access to Customer Content by our personnel is limited to authorised service delivery, support, security, legal compliance and other purposes permitted by the customer agreement and applicable law. Connecting a source does not authorise unrelated advertising or marketing use of its contents.
1.5 Legal Bases for Processing
Where applicable law requires a legal basis, we process information as necessary to perform a contract with you, meet legal obligations, pursue legitimate interests such as operating, securing and supporting the service and communicating about our business, or on your consent where required. We consider your rights when relying on legitimate interests. For information processed on a customer’s behalf, we act on the customer’s documented instructions and the applicable data processing terms.
2. How We Collect, Use, and Share Your Personal Information
2.1 Sharing Your Information
Service providers processing personal information on our behalf are subject to appropriate confidentiality, security and data-use obligations. Information about relevant service providers, their functions and processing locations is available by contacting contact@pipeshub.com. Where a data processing addendum applies, the appointment of subprocessors and notification of changes are governed by that addendum.
2.2 How We Use Your Personal Information
2.3 Organisation Accounts
If your account is provided or managed by an organisation, that organisation controls its workspace and permissions and may access or manage account information and Customer Content as permitted by the service configuration and applicable law. Contact the organisation for requests concerning content it controls. We will assist with those requests as required by our agreement and applicable law. For an individual account or information PipesHub controls itself, contact us directly using Section 5.
2.4 US Hosting and International Transfers
PipesHub Cloud is deployed in the United States. Personal information may also be processed in countries where our model providers, other service providers or authorised personnel operate. US deployment does not by itself mean that every provider processes information only in the United States. Where applicable law requires safeguards for an international transfer, we use an applicable adequacy arrangement, appropriate contractual safeguards such as standard contractual clauses and relevant UK provisions, or another lawful transfer mechanism. You may contact us for information about relevant processing locations and safeguards.
2.5 Connector Data and Third-Party Integrations
Connectors link PipesHub to the external applications, platforms and data sources you or your organisation enable. Depending on the integration and permissions granted, we access and process authorised content, related metadata, access permissions and connector credentials as necessary to deliver the enabled features described in Section 1.4.
Connector data may be sent to the configured AI, embedding or other service providers as necessary to provide, secure and support those features, subject to customer instructions, applicable law and the connected platform’s data-use policies. We provide the required disclosures and obtain any required consent for that access, use and sharing. Providers processing connector data on our behalf are subject to appropriate confidentiality, security and applicable data-use restrictions.
Any stricter restrictions imposed by a connected platform on permitted uses, onward transfers, model training, advertising, human access, retention or derived data take precedence over the general processing purposes described in this policy. Customer consent, provider selection or customer-provided credentials do not authorise a use prohibited by those restrictions.
3. Right to Access Personal Information
4. Retention of Personal Information
For Customer Content processed on a customer’s behalf, retention, export and deletion are governed by the customer’s instructions, the service agreement and any applicable data processing addendum. Cancelling subscription renewal does not by itself delete the account or its content. Retained backup copies are protected and excluded from ordinary active use until deletion through the applicable backup-retention process, unless retention or access is legally required.

7. Security of Your Personal Information
PipesHub maintains commercially reasonable administrative, technical and organisational safeguards designed to protect personal information against unauthorised access, disclosure, alteration and destruction. No system can guarantee absolute security. Where we process personal information on a customer’s behalf, security and personal-data-breach notification obligations are governed by the applicable service agreement, data processing addendum and law.
8. Cookies and Similar Technologies
We use cookies and similar technologies for functions such as authentication and security and, where enabled, analytics or marketing. These technologies may collect device, IP address and usage information. Where applicable law requires consent for optional cookies or similar technologies, we obtain that consent before using them and provide a way to change or withdraw it. You may also manage cookies through your browser, although disabling necessary technologies may affect service functionality. Contact us using Section 5 for information about applicable cookie choices.
